Planning Ministry to Go Paperless in 3 Months

The Secretary Ministry of Planning Development & Special Initiatives, Syed Zafar Ali Shah, gave an order to the IT sector to move office records from a manual system to an electronic one making it quick, efficient, and cost-effective.

Syed Zafar Ali Shah chaired a meeting to examine progress on the electronic filing system (e-office), which helps to shift from a manual system to automated documentation.

Among those present in the meeting were the Additional Secretary, the Committee members, and the IT team. This system’s efficiency, speed, and affordability were all brought up during a discussion by the secretary.

The Secretary Minister directed the Information Technology section to shift all records from a manual system to automated within three months. “The prime objective is to promote a paperless environment in the office and the use of the latest technology,”

Adding to this, Syed Zafar Ali Shah said the entire world has turned into a digital system, and the ministry is in severe need of utilizing the most recent technology at this moment. An e-office system that is phased in will be implemented by the IT department at the direction of the Secretary. According to the secretary of state, this would be a groundbreaking effort that would not only help authorities but save money as well.

Government agencies are benefiting from E-Office, an app developed by NITB. Using electronic administration, the goal is to increase productivity inside a company.

Prior to a final decision being made by senior officials, it takes a long time to physically relocate all of the official files and paperwork. As a result, many important decisions are put on hold because of the slow movement of files, the absence or inability of senior government officials, or both. Additionally, most government agencies are plagued by the problem of lost or stolen documents. In such a situation, it is critical to have a system in place that allows an authorized person to quickly identify the necessary documents or files.

E-Office is a move toward a paperless office environment in the federal sector. Files can be updated and shared with other app users, and they can be stored with proper citations in the app’s database. The inherent advantages of the electronic system include the digital storage of data and the existence of audit trails for each transaction. Government files are protected by regular backups and disaster recovery systems (DRS) in the event of an emergency.
